What does an AI receptionist actually do?
It answers the phone and your website’s chat like a good receptionist would, at any hour, as many calls at once as come in. For each caller it can:
- answer questions about your locations, services, hours and prices (only what you’ve given it);
- take their details and book them in, or take a booking request for your team to confirm;
- send the enquiry to the right location’s team, with everything written down;
- pass anything it can’t answer properly to a person, and say so.
Why is it different for a business with several sites?
Because every location has its own busy times, its own closed hours and its own phone. One assistant can answer for all of them with each location’s own details, and head office gets one record of every call across the network, instead of voicemails scattered across sites.
What I built that proves it
I designed and built Zeena, every layer: the voice people talk to, the web page she lives on, a workflow engine with 43 automatic steps that does the admin after each conversation, a database that remembers every person, and her own server. Questions
What does an AI receptionist cost in the UK?
It depends on what it has to do: how many locations it answers for, which systems it books into, and how many calls it handles. I agree a price after a conversation about that, rather than publishing one. Ask any provider what’s included, who owns the setup, and what happens to your data if you leave.
What’s the difference between an AI receptionist and a virtual receptionist service?
A virtual receptionist service is people in a call centre answering for you, usually taking messages. An AI receptionist is software that answers instantly, any hour, as many calls at once as come in, and can book people in and file every conversation. Many businesses use both: the AI for the routine and the out-of-hours, people for the rest.
Will callers know they’re talking to an AI?
They should, and mine always say so. Callers are fine with an AI that answers straight away and gets them booked in; they aren’t fine with being misled.
Can it answer for several locations?
Yes. It can answer for whichever location was called, with that location’s hours, services and staff, and send each enquiry to the right site’s team.
Can it book straight into our system?
If your booking system allows another system to connect to it, yes. If not, it takes the booking request with all the details and passes it to the team to confirm, which is often the safer place to start.
What about healthcare and GDPR?
In healthcare it never gives medical advice: clinical questions go to a person, and the urgent wording is signed off by your clinical lead. Check your data protection duties with the ICO or your adviser, and your regulator’s view, before anything goes live.
